1. Who we are

Biz Cards is a business card storage and contact management application operated by Niltech Digital. The app helps authorised users scan, upload, store, search, view, and update business card contact information.

2. Information we collect

When you use the app, we may collect and store:

Your user account details, such as name, username, role, status, and login-related information.
Business card images that you scan or upload.
Contact details extracted from cards, including names, company names, job titles, phone numbers, email addresses, websites, addresses, and notes.
OCR text generated from uploaded card images.
Basic technical information required to operate the app, such as upload date, card owner, and system timestamps.

3. How we use information

We use information to:

Save and organise business card contacts.
Extract contact information from card images using OCR.
Allow authorised users to search, view, edit, and manage contacts.
Improve accuracy where users manually correct OCR results.
Maintain security, troubleshoot issues, and operate the app properly.

4. Shared contacts inside the app

This app may operate as a shared business card library. This means authorised logged-in users may be able to view cards uploaded by other authorised users. Depending on your configuration, users may also be allowed to correct or update extracted contact information.

5. OCR and third-party processing

To extract text from card images, the app may send uploaded images to a third-party OCR service. The extracted text is returned to the app and saved against the relevant contact record. Do not upload business cards or documents that you are not authorised to process.

6. How we protect information

We use access controls, login authentication, server-side validation, and role-based administration features to help protect stored information. However, no system is completely risk-free. Users should keep passwords secure and only upload information they are authorised to store.

7. Data retention

Business card images, extracted contact details, notes, and OCR text are retained while the app is being used, unless they are deleted by an authorised user or administrator. Backups, hosting logs, or cached copies may remain for a limited period depending on server and hosting configuration.

8. Your responsibilities

Users are responsible for making sure they have permission to upload and store business card information. Business cards often contain personal information, so users should treat this data carefully and avoid uploading sensitive documents that are not business cards.

9. Access, correction, and deletion

Authorised users may correct contact details inside the app where editing is enabled. To request access, correction, or deletion of stored information, contact the system administrator or email us at support@niltechdigital.com.

10. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in the app, hosting environment, OCR provider, legal requirements, or business operations. The latest version will be shown on this page.
